DELEGATE TERMS & CONDITIONS
Skål International World Congress 2026
Location: Nelson Mandela Bay Region: Eastern Cape Country: South Africa
Dates: 29 September – 2 October 2026
1. DEFINITIONS
● Organiser: Nelson Mandela Bay Skål Club and appointed agents
● Congress: Skål International World Congress 2026
● Delegate: Any registered attendee
● Event: All official congress activities, including sessions, social events, and exhibitions
2. REGISTRATION & ACCEPTANCE
● Submission of a registration constitutes an offer to attend the Congress.
● Registration is only confirmed upon:
○ Full payment; or
○ Approved payment terms
● The Organiser reserves the right to:
○ Accept or decline registrations
○ Cancel registrations for non-compliance
3. FEES & PAYMENT TERMS
● All fees must be paid in full prior to the Congress unless otherwise agreed.
● Early bird rates require payment before the published deadline.
● Any bank charges, or transaction fees are for the delegate’s account.
4. CANCELLATION POLICY
All cancellations must be submitted in writing.
Standard Delegates:
● Before 31 May 2026
→ Full refund less 15% administration fee
● 1 June – 31 July 2026
→ 50% refund
● From 1 August 2026 onwards
→ No refund
● No-show
→ No refund
5. VISAS & IMMIGRATION (INTERNATIONAL DELEGATES)
● Delegates are solely responsible for:
○ Visa applications
○ Passport validity (minimum 6 months recommended)
○ Compliance with immigration laws
● The Organiser may provide:
○ Invitation letters upon request
⚠ Important:
● Failure to obtain a visa does not entitle the delegate to a refund outside the stated cancellation terms
6. TRAVEL & ACCOMMODATION
● Travel and accommodation are not included unless explicitly stated.
● The Organiser is not responsible for:
○ Flight cancellations or delays
○ Travel disruptions
○ Accommodation issues
7. PROGRAMME & CONTENT
● The Organiser reserves the right to:
○ Modify programme content
○ Change speakers
○ Adjust schedules
● Such changes do not constitute grounds for refund.
8. EVENT FORMAT CHANGES
If the Congress is:
● Postponed
● Cancelled
● Converted to hybrid or virtual Due to circumstances beyond control: The Organiser may:
● Transfer registrations to a new date
● Offer virtual participation
● Provide partial refunds (after costs incurred) The Organiser is not liable for:
● Travel or accommodation costs
● Any indirect or consequential losses
9. LIABILITY
● Delegates attend the Congress at their own risk.
● The Organiser shall not be liable for:
○ Personal injury
○ Loss or damage to personal property
○ Any indirect or consequential loss
10. INSURANCE
Delegates are strongly advised to obtain:
● Travel insurance
● Medical insurance
● Cancellation cover
11. HEALTH & SAFETY
● Delegates must comply with:
○ Venue regulations
○ Health and safety requirements
● The Organiser may impose additional requirements if necessary.
12. CODE OF CONDUCT
All delegates are expected to:
● Behave professionally
● Respect other participants The Organiser reserves the right to:
● Remove any delegate for misconduct
● Refuse future participation
No refund will be issued in such cases.
13. DATA PROTECTION & PRIVACY
● Delegate information will be used for:
○ Event management
○ Communication
● Data may be shared with:
○ Event partners (where necessary)
● Data will not be sold to third parties.
14. PHOTOGRAPHY & MEDIA
● The Congress will be photographed and recorded.
● By attending, delegates consent to:
○ Use of images and video for promotional purposes
15. INTELLECTUAL PROPERTY
● All event content remains the property of the Organiser or respective speakers.
● Recording or redistribution without permission is prohibited.
16. FORCE MAJEURE
Includes (but not limited to):
● Natural disasters
● Pandemics
● Government restrictions
● Civil unrest In such cases:
● The Organiser is released from obligations
● No liability for damages or losses
17. LIMITATION OF LIABILITY
To the fullest extent permitted by law:
● The Organiser’s liability is limited to the amount of the registration fee paid
18. GOVERNING LAW & JURISDICTION
● These Terms are governed by the laws of South Africa
● Jurisdiction: Courts of the Eastern Cape
19. GENERAL
● These Terms constitute the entire agreement between the parties
● No variation shall be valid unless in writing
● If any provision is invalid, the remainder shall remain in force
